Benefits of Implementing an LMS

Training administration can be a long winded task when handled manually, and due to the time taken to complete repetitive paperwork and other tasks, enhancing business strategy is often left at the bottom of the pile.

  1. e-learning: An LMS is not an essential platform for the delivery of e-learning, but it makes the process easier for a number of reasons. Authoring tools feature in many Learning Management Systems, so all your e-learning can be created within the system. They are also usually SCORM compliant, which means any e-learning material created externally can be uploaded to the system easily, and they can all be branded with company colours and terminology if required. Learners access the LMS to see their upcoming e-learning activities, as well as any documents they need for preparation in advance, and complete the courses as required. Completion of a course can be set to prompt an action (such as unlocking the next module), and all results are stored within the LMS for future reference by learners, managers and administrators.

  2. Compliance Training: Your LMS will keep track of compliance training so you will never have to worry about whether your company is meeting legal compliance standards. New employees can complete their onboarding process via the LMS, which will automatically assign e-learning modules including all required compliance training (health & safety, security, etc.) as well as other relevant role based learning. If the compliance training needs to be renewed after a certain time period, your LMS will be able to send automated notifications when it is due to expire. It can also automatically reassign compulsory training if the learner does not achieve a pass mark the first time.

  3. A central platform: Your LMS enables all data, statistics, training materials, resources, development paths and assessment results to be stored within one central system. This saves a considerable amount of time (and therefore costs) as it eliminates many manual administration processes to manage, schedule and deliver learning activities. It also reduces the environmental impacts of continuously printing textbooks and other paperwork. Dashboards and reports can be used to view the overall progress of departments or individual learners. Analysing all learning activities together in one single system gives a much greater business insight into they way money is being spent, and also highlights any strengths or weaknesses where learners or departments are concerned. If your system is a hosted SaaS/Cloud LMS it will be extremely secure as you will always know where your data is being stored and who can access it. It also saves considerable amounts of money to have your LMS hosted by the vendor; in some cases the costs of servers, networking equipment, and other hardware and software can even double the cost of what you pay for your LMS!

  4. Manage and track staff training: The LMS enables a more streamlined administration effort by automating many repetitive manual tasks. Processes such as classroom booking and course authoring can be completed in just a few clicks, as all information only needs to be uploaded to the system once, and then it is available whenever the tools are used in future. Managers can analyse learners’ progress with dashboards and reports, and notifications regarding upcoming deadlines are sent automatically. Any notes or extra information regarding courses can be stored within the learners’ PDPs or the Wiki, and regular job chats can be organised between managers and employees to discuss and set personal development paths.

  5. Blended learning: An LMS is the best way to leverage blended learning. Instead of creating masses of emails, spread sheets, phone calls and other paperwork to book ILT and e-learning, all these tasks can be set up with simple step-by-step processes within the LMS in just a few clicks! Learners can see all upcoming events in their quick-look dashboards, or look through their PDPs for more details. They will be able to sign up or book onto a course of any type, and share their newly acquired knowledge on the social platform for their peers to see.

  6. Reduce training costs: An LMS significantly reduces training costs for the company. Many more courses can be managed, scheduled, delivered and completed without having to increase the number of administrators in the L&D team. The time taken to complete administrative tasks is reduced and in some cases eliminated by automating some manual activities. E-learning reduces time learners spend away from the workplace to complete training, and also reduces the costs of booking resources such as classrooms and Trainers.   7. Evaluate Expenditure: An LMS is a great platform for analysing expenditure based on each team or department. The company can then pinpoint where changes could be made in order to optimise training expenditure.

  8. Self service employees: In addition to courses that are compulsory or relevant to the learners’ job roles, learners also have the responsibility of subscribing and signing up to other training activities that interest them. If employees want their career with the company to go in a particular direction, they can apply or sign up to courses of their choice in order to complete the training required to achieve it. They can discuss their options with managers during job chats and performance reviews, and add new courses to their PDPs.

  9. Immediate Updates: Changes can be processed with immediate effect so information delivered to users is never out of date. Any updates to training events, such as a new time or date for a course, can be distributed quickly and easily to all affected via email or SMS. Evaluation and feedback can also be provided by learners following a course they have attended, which enables administrators to make changes and updates to training based on the immediate reaction of the learners.
